Step by step to your trade-fair stand

The following topics contain a brief explanation of the most important steps in the organisation of your trade-fair participation after the exhibitor application, e.g. regarding the placement process, stand building and equipment as well als invoicing.

1. Placement process—find your perfect exhibition space

Start of allocation
Hall allocation will begin in summer 2026. Partner packages (in order of priority: Gold—Silver—Bronze) will be allocated first. All other exhibitors will be allocated on a “first come, first served” basis.

Sending of allocation proposal
In September/October 2026, you will receive an allocation proposal by email, including a hall plan. This proposal will be sent to the contact person named in your registration.

Please note: We always endeavour to take all exhibitors” preferences into account as far as possible. However, we cannot always accommodate everyone’s requests. Once you have received the stand offer, you have the option to accept it or request a new offer (see point 3).

Feedback on proposed allocation
Please check this proposal carefully, particularly with regard to location, stand type and size.

  • If everything meets your requirements, you can confirm your stand space by clicking the “Accept” button, thereby entering into a binding contract. From this point onwards, cancellation fees will apply should you cancel your exhibition participation.
  • If you would prefer a different placement, please click the “Decline’ button and describe your preferred placement in as much detail as possible. We will then do our best to offer you a new placement suggestion, subject to availability.

Please respond to your proposed allocation by the deadline, either by accepting or declining it.

Once you have confirmed your proposed allocation, you will receive your registration invoice from December 2026 onwards. Further information can be found under “6. Invoicing—Registration and Final Invoice”.

2. Stand building—Designing the perfect stand

The stand space booked via the online registration does not include stand construction. You have the following options for setting up your stand:

  • Use your own stand construction, naturally in accordance with the technical guidelines; you can book additional services from the Exhibitor Shop, such as electricity
  • Place individual orders for equipment such as electricity, partition walls, furniture, lighting, etc. (via the Exhibitor Shop)
  • Commission a stand builder, e.g. meplan

Please submit any necessary documents to the Technical Exhibitor Service (TAS) in the following cases:

  • The stand or advertising height exceeds 3 m (stand plan)
  • The stand size exceeds 100 m² (stand plan)
  • Stand covers are in place (stand plan)
  • A vehicle is being exhibited (Form 1.2 “Application for preventive fire safety” in the Exhibitor Shop).

3. Exhibitor Shop—Ordering services for your stand online

To ensure your exhibition stand is fully equipped, we offer a wide range of services, such as electricity, cleaning, security and parking permits, which you can conveniently order online via our Exhibitor Shop.

  • Once you have confirmed your proposed stand allocation, you will receive login details for the Exhibitor Shop by email.
  • Please note that there are order deadlines and that surcharges may apply for very last-minute orders.
  • Security for the exhibition stand is not included in the standard package; we therefore recommend that you book your own security through the Exhibitor Shop if required.
  • If you are planning an evening event at your exhibition stand, you can also register this using the relevant form in the Exhibitor Shop.
  • You can also create your exhibitor passes via the Exhibitor Shop. These are available fully personalised and in electronic format as mobile tickets for smartphones and tablets, or as Print@Home tickets. As a main exhibitor, you are entitled to a quota of free permanent exhibitor passes; the number of these is specified in your stand allocation proposal. Only cards that have been used will be charged for; the first cards used are automatically free of charge.

4. Your entry in the Exhibitor Directory

Your entry in the DMEA exhibitor directory is managed by the publisher jl. Medien e.K., which is therefore our sole partner in this area.

  1. The publisher will send you a proof of your entry in good time. Please check it carefully and provide the publisher with your feedback.
  2. Take this opportunity to make the most of your entry in the exhibitor directory by booking 5 entries in the product categories and 3 product presentations (see also Terms and Conditions B). You can also list up to 3 contact persons, complete with photos and contact details. This will make it easier for interested visitors to find you.
  3. You have the option of booking additional paid services.

5. Set-up and dismantling—Useful tips

All information regarding set-up and dismantling, logistics and transport at the exhibition centre—e.g. transport guidelines, goods delivery, approved hauliers—can be found under Logistics & Traffic.

No set-up or dismantling passes are required!

6. Invoicing—Admission invoice and final invoice

Registration invoice

Registration invoices will be sent out from December 2026. The payment deadline is the end of January 2027.

  • Please note that the invoice will generally be issued to the company registered as the exhibitor. If you wish to specify a different invoice recipient, please contact the project team in good time by email at projektleitung@dmea.digital to request and return the relevant form.
  • Any subsequent changes to invoices will be charged at EUR 50 (see the general terms and conditions of participation, section A7).

Final invoice

Final invoices will be sent out around mid-May 2027.

The item “Advance payment for services” listed on the registration invoice will be taken into account.

Important:

Please send any important information required for invoicing (e.g. an additional order number or the ‘alternate invoice recipient’ form) to projektleitung@dmea.digital as soon as possible. According to General Terms and Conditions A7, a change to the invoice details (change of company name, legal form or address) is only possible for a fee of EUR 50.00.

Tips & Info

Registration process for co-exhibitors

As an exhibitor, you can register co-exhibitors for your stand space. Please use the link provided in your registration confirmation as the main exhibitor.

The registration fee per co-exhibitor will be invoiced to the main exhibitor. Like the main exhibitor, all co-exhibitors will be listed as independent exhibitors in the trade fair media and in the online exhibitor directory. They will also receive their own account for the DMEA Exhibitor Shop.

Products & Services

1. Included Services

The following chargeable services are automatically included in the registration:

  • Communication fee: Basic listing in our print and online media, as well as additional communication services.
  • AUMA fee: The Association of the German Trade Fair Industry (AUMA) charges all exhibitors a fee of €0.60 net per square metre of rented exhibition space. This fee is calculated by the organiser and paid directly to AUMA.
  • Waste disposal fee: Basic waste disposal on the exhibition grounds before, during and after the trade fair.
  • Advance payment for services: A flat-rate advance payment for services such as electricity, water and telephone connections. The advance payment will be settled against the services actually used after the trade fair.

All items listed will be included in the registration invoice.

2. Additional services

From winter 2026, you will be able to book additional services such as stand construction and related fittings (e.g. partition walls, carpeting, electricity), technical support, as well as exhibitor passes and promotional materials via our Exhibitor Shop.

Cancellation of trade fair appearance

1) Cancellation of your exhibition stand at no cost

Registration for DMEA is initially non-binding. No cancellation fees will therefore apply during the period between registration and confirmation of your allocated stand.

2) Cancellation of your exhibition stand subject to a fee

Your registration becomes legally binding upon confirmation of your proposed stand allocation. From this point onwards, cancellation fees will apply should you cancel your exhibition stand. Cancellations must be made in writing to projektleitung@dmea.digital.

Cancellation fees: If the stand can be re-let, the cancellation fee is 25 per cent of the participation fee. If re-letting is no longer possible, 100 per cent of the participation fee will be charged.
